How UN vacancies count relevant work experience

Relevant experience is judged by function, duration and level of responsibility. Calendar years, overlapping jobs and prestigious employers do not answer every criterion.

A vacancy may ask for a number of years of progressively responsible experience and then add narrower requirements. Candidates need to meet the full sentence, not the headline number.

Ten years of total employment does not establish five years in humanitarian coordination, two years supervising a team or experience with a named financial system.

Relevant means related to the criterion

Start with the function. Programme management, policy research, engineering design, procurement and public information are separate forms of work even when performed in the same organization.

Map each required criterion to specific employment periods. Record dates, working schedule, duties and level of responsibility. If the same job supports several criteria, describe the relevant part for each without counting its calendar time twice in the total career length.

Experience at a famous institution receives no automatic credit. Reviewers need the work performed.

Progressively responsible experience

The phrase refers to increasing complexity, independence and responsibility. Evidence can show movement from supporting analysis to owning a portfolio, from applying procedures to advising others, or from individual delivery to supervising staff.

A promotion helps demonstrate progression, but it is not the only route. A person can take on harder assignments within one title. Conversely, a senior-sounding title may involve limited authority.

Applications should identify decisions, products, resources and supervision accurately. Inflating coordination into management can create problems during assessment or reference checks.

Full-time, part-time and overlapping periods

A year of full-time work and a year of limited weekly consultancy are not necessarily treated as equal. Enter hours or working percentage where the system requests them.

Two simultaneous full-time claims are likely to need explanation. Overlapping part-time roles can both be relevant, but their hours and dates should be transparent. The organization may prorate experience under its rules.

Do not add overlapping calendar periods twice when deciding whether to answer yes to a minimum-years question. If the criterion concerns two different skills acquired concurrently, the same period can provide evidence for both skills while still remaining one year of elapsed work.

Career breaks should be recorded as the application system requires. A gap is less damaging than inconsistent dates.

Experience before or during a degree

A vacancy or organization may specify how experience is counted in relation to the qualifying degree. Some systems count only post-degree professional experience for particular grades or contracts. Others assess relevant experience more broadly.

Do not apply a rule taken from one organization to another. The World Bank, EU institutions, UNDP and the Secretariat have different recruitment frameworks.

When a first-level degree plus extra experience substitutes for an advanced degree, the additional years must be available under the vacancy’s calculation. The same years can still form part of total professional history, but the recruiter applies its stated formula.

Internships, volunteering and unpaid work

An internship can demonstrate skills and subject knowledge. Whether it counts toward a staff vacancy’s minimum professional experience depends on the wording and policy used by the recruiting organization.

Volunteer work can also be professional in content. Give employer or host, dates, hours, duties and supervision. Do not hide its status or turn a volunteer assignment into paid staff employment.

Academic research may count when it was professional work and matches the criterion. A degree dissertation alone is education unless the organization’s rules say otherwise.

Consultancy and self-employment

For consultancies, state the contract period and actual working pattern. A twelve-month framework agreement containing two months of deliverables should not be presented as twelve months of full-time service.

Self-employed applicants can show contracts, clients, products, invoices or references. Protect client confidentiality while giving enough detail for verification.

Repeated short assignments can be grouped for readability only if dates and scope remain clear. The structured application should still support an accurate duration calculation.

International, field and regional experience

If the vacancy asks for international experience, explain what made it international. Work across countries, service outside the country of nationality, multi-country responsibility and employment in an international organization are possible forms, depending on the wording.

Field experience is also contextual. Travel for a conference does not establish experience living and operating in a field duty station. State location, duration, conditions and responsibility.

Experience “in Africa,” “with governments” or “in the UN system” needs similar detail. Name countries, institutions and professional task.

Checking the application

Build a timeline without overlaps and calculate full-time-equivalent duration conservatively. Then mark the periods supporting each required and desirable criterion.

Use the same dates and titles across the application, CV and supporting documents. Keep contracts and employment certificates that give hours and duties.

The hiring organization makes the final assessment. A careful self-check reduces applications that fail an objective threshold and produces clearer answers when the candidate is qualified.
