To ensure efficient support to fleet, protocol, and administrative services, the office intends to hire a Driver & Business Support Assistant who will provide driving services on an as needed basis along with administrative and clerical support to the Management Services Unit, including fleet management, asset management, protocol, and related government processes.

Under the direct supervision of the Management Services Assistant, and overall guidance of the Head of Enabling Services, the incumbent will perform the following duties:

Fleet Management Suppport                   

1. Provide transportation to the Country Director, senior WFP staff, high ranking UN officials  and  authorized personnel including facilitating basic translation to and from the local language, and/or deliver approved items/commodities following authorized routing and UN safety and security rules and regulations to ensure safe and efficient service delivery.

2. Maintain accurate vehicle logbooks and provide daily reports to the supervisor on the vehicle’s mechanical status to ensure efficient vehicle utilization, fuel management, and cost-effective operations.

3. Ensure that the assigned vehicle is kept clean, well maintained and in optimal operating condition, including proper upkeep of all equipment, timely servicing, and ensuring that the vehicle is fully equipped with required travel authorizations and supplies. Promptly report any mechanical issues to the supervisor to maintain vehicle safety and service continuity.

4. Follow established rules and regulations for field deliveries and respond appropriately in the event of accidents, including immediate reporting to the supervisor to obtain further instructions and support informed decision making.

5. Plan and evaluate alternative routes to ensure efficient time management in driving the Country Director to attend meetings and other official events. Leveraging navigation tools such as Google Maps, Waze, and other traffic monitoring applicationsand adhere to protocols and entry procedures for diplomatic premises such as embassies, government offices, etc.

6. Serve as the focal point for Fleet Management System (FMS) ensuring timely and accurate entry of all required vehicle data, including maintenance costs and fuel consumption for vehicles under the Jakarta Country Office.

7. Process and maintain documentation for vehicle insurance, registration, and permits in accordance with local regulations and WFP standards.

8. Assist in monitoring and coordinating vehicle maintenance schedules, car sticker renewals, and servicing deadlines, ensuring timely compliance with regulatory requirements and maintenance standards,

Administrative Support

9. Provide support to the Management Services Assistant on all matters related to protocol.

10. Perform  office support tasks outside of driving duties—including filing, photocopying, maintaining office supplies, delivering and collecting documents, handling mail services, and processing payments for office utilities—to ensure smooth administrative operations.

11. Provide clerical support for asset management administrative tasks, including tracking equipment locations and assisting in periodic physical verification exercises.

12. Undertake standard data entry tasks to support documentation accuracy and timely retrieval of information for the Country Office team.

13. Process and track documentation related to protocol matters, government clearances, fleet management, and asset management to ensure compliance with organizational policies and local regulations.

14. Perform other related duties as required

Deliverables:

1. Transportation services for WFP staff including high-level visitors is managed efficiently and professionally.

2. Safe driving practices are consistently applied in all assignments.

3. Travel schedules—particularly for the Country Director—are planned and executed efficiently.

4. The assigned vehicle is regularly and properly maintained.

5. Vehicle logbooks are updated accurately and in a timely manner.

6. All safety equipment, medical kits, spare tires, and vehicle tools are complete, functional, and readily available.

7. Support for mail delivery across units and cash withdrawals for Finance is completed accurately and on time.

8. Fleet Management System (FMS) data is entered accurately and submitted in a timely manner.

9. Support to the Management Services Assistant on protocol related matters is provided effectively and in a timely manner.
