BACKGROUND AND PURPOSE OF THE ASSIGNMENT:
Within the Finance Strategy 2027 initiative ‘Excellence in Core Enabling and Assurance Services’, since 2021 Chief Financial Officer Division has been pursuing several initiatives aiming at streamlining and simplifying the way finance manages services, in particular through corporate service management tools, with the objective to implement a single portal for staff to request financial services and ask questions related to processes and employee-related financial services.
The objective is to improve the organizational insights and offer an enhanced experience when requesting for services. This results to a win-win situation where staff can access services and receive answers to their questions promptly, whereby Finance manages requests more efficiently and effectively.
Moreover, Corporate Financial Monitoring branch (CFOM) promotes capacity building and overall change management initiatives, to secure adoption and effective use of corporate systems, inclusive of ERP SAP and new technologies such as Robotic Process Automation (RPA), WSS, chatbots and others.
To support the above mentioned workstreams a consultant is required. The incumbent will be responsible of the following duties:

ACCOUNTABILITIES/RESPONSIBILITIES:
Under direct supervision of the Digital Transformation Lead and the overall supervision of Chief of Corporate Financial Monitoring branch (CFOM), the Project Release Management Coordinator will have the following responsibilities:
1. Lead change management activities by applying a structured methodology. Develop change management plan; monitor/track change management deliverables including communications, training, stakeholder engagement, change impact assessment, organizational readiness progress, and change reinforcement.
2. Assess change impact and raise users’ and stakeholders’ awareness about new processes to secure understanding of the functionality and capabilities of the new tools and to attain expected engagement.
Support the design, development, delivery and management of communications, working closely with CFO communication focal point.
3. Support the go-live monitoring of digital services and gather users’ feedback for potential improvements, where required.

4. Support the business requirements gathering and assess feasibility for new digital services.
5. Lead training efforts:
• Assess the training need through identification of any skill gaps at HQ and Field levels
• Prepare and facilitate training sessions as needed both virtually and on-site (e.g. coordinate Finance Officer virtual orientation workshop).
• Lead, design and develop training programs, as well as learning material and modules through corporate learning platforms (e.g. WeLearn).
Gather users’ feedback for potential improvements, where required.
6. Perform other duties, as required.

DELIVERABLES AT THE END OF THE CONTRACT
1. Change Management Strategy and Plan to support implementation of digital services
2. Communication plan and its implementation
3. Effective training or training material for the users of services /platform
4. Regular updates to CFO management on implementation status of new tools
5. Documentation and feasibility assessment for new digital service requests

QUALIFICATIONS & EXPERIENCE REQUIRED:

Education:
An advanced degree in preferably in one or more of the following disciplines: Public or Business Administration, Business Management, Operations Management, or related areas or a First University Degree with additional years of related work experience.

Experience:
At least 8 years of postgraduate progressively responsible experience in related capacity/field.

Knowledge & Skills:

A solid understanding of change management principles, methodologies and tools.
Strong communication skills, both written and verbal.
Ability to establish and maintain strong relationships.
Organized with a natural inclination for planning strategy and tactics.
Problem solving and root cause identification skills.
Must be a team player and able to work collaboratively with and through others.
Knowledge of project management approaches, tools and phases of the project.
Knowledge of corporate service management tools (ServiceNow, EasyVista) would be an asset.
Good knowledge of financial processes would be an asset.
Experience with WFP operations would be an asset.

Languages:

Fluency (level C) in English language. Knowledge of a second official UN language: Arabic, Chinese, French, Russian, Spanish, and/or WFP’s working language, Portuguese, will be an advantage.
