How to complete a UN Secretariat application in Inspira

Inspira uses a complete online application, not a CV attachment as a substitute. Dates, duties, education and tailored evidence all affect screening.

The UN Secretariat evaluates the application submitted in its online recruitment system. A polished CV kept elsewhere does not replace missing information in Inspira.

The UN Careers application page says that resumes are not accepted as a substitute or supplement for the completed online form. Build the form early, then adapt it for each opening.

Profile and application are separate

The profile contains personal and contact information. Changes to it can update submitted applications, so details such as email address and phone number should remain current throughout recruitment.

The application holds education, employment, languages, skills and other eligibility information. A saved application can be reused, but reusing it without revision can leave irrelevant duties in prominent positions and omit evidence requested by the new vacancy.

The system may also present screening questions or self-assessment items tied to the opening. These form part of the submission.

Record employment precisely

For each job, enter the employer, title, dates, working schedule and duties. Dates influence the automatic and manual review of experience. Avoid unexplained gaps, overlapping full-time roles or job titles that do not match employment records.

Describe what you did, not the mandate of the employer. A paragraph explaining that an organization promotes sustainable development does not show the applicant’s responsibility. Use plain statements about decisions, analysis, products, people supervised, budgets or systems.

Where work was part-time, consultancy-based or intermittent, record it accurately. The recruiter may calculate qualifying experience differently from a simple count of calendar years. Overlapping periods cannot be assumed to count twice.

Keep evidence that can support the entry later: contracts, certificates of employment, dates, working hours and supervisors’ contact details. Reference and background checks can identify discrepancies that were accidental at the application stage.

Enter education under the vacancy’s terms

Use the degree name awarded by the institution, field of study, dates and completion status. Do not convert a national qualification into a different degree title. If the vacancy accepts a first-level degree plus extra experience in place of an advanced degree, the screening decision depends on both parts being documented.

A short course is not a university degree. Professional certificates belong in the relevant qualifications section and should include the issuing body and date. Licences with an expiry date need current status when the vacancy requires them.

If a degree is still in progress, state that. The applicant must meet the education condition by the date specified in the opening.

Languages and skills

Use the proficiency levels requested by the system honestly. The vacancy may distinguish reading, writing, listening and speaking. A recruiter can assess the language later through a written exercise or interview.

List technical skills that are supported by work examples. A long software inventory can obscure the tools actually used at professional level. If the notice requires a platform, make its use visible in the relevant employment description as well as the skills field.

Tailor the submission

Read the responsibilities, work experience, education, languages, competencies and Special Notice separately. Build a short checklist before editing the application.

For each required experience criterion, make sure at least one employment entry identifies the function, duration and level of responsibility. Desirable criteria should also be supported when they apply. Repeating the vacancy’s wording without facts can fail a manual review.

The motivation statement introduces the fit between the candidate and the specific post. It should select evidence already supported by the application and explain why it matters to the office. It is not a place to add years or qualifications missing from the formal sections.

Review before submission

Review contact information, dates, required questions and the motivation statement. Save a copy of the vacancy because the public notice can close before later assessment stages. Save the final application if the system permits it.

Do not wait until the closing hour. Time-zone mistakes, file problems and account access issues do not usually extend a published deadline.

After submission, monitor the registered email address and spam folder. Assessment invitations often require a response by a specified time. Updating the profile with a working email is part of keeping the application viable.
