Under the general supervision of the Director of China Office, the Business Support Assistant (HR) will join the HR team and report to the Head of HR Unit. The incumbent will manage a broad spectrum of HR processes and entitlements, providing accurate and timely administrative support for employee lifecycle milestones—including onboarding and separation—as well as daily operational activities such as attendance, leave, and documentation management.

The incumbent is responsible for, but not necessarily limited to, the following assigned duties: 

1. Employee Lifecycle Milestones: Provide administrative support for specific employee lifecycle milestones, primarily focusing on onboarding and separation activities. Assist in staff deployment logistics and ensure related actions comply with established procedures.

2. Employee Relations & Internal Liaison: Serve as a point of contact for general HR inquiries and follow-up actions to ensure consistent service delivery. Coordinate with internal units on HR matters, including volunteer/internship programs and short-term staff management.

3. Events & Employee Engagement: Assist in organizing and coordinating staff welfare activities and internal events (e.g., team building, cultural celebrations) to foster a positive workplace atmosphere.

4. Leave & Attendance Management: Administer daily operational activities such as attendance tracking, leave balances, and timesheet management, ensuring accuracy and timeliness.

5. HR Data Analysis & Reporting: Compile and extract HR data related to recruitment, contracts, training, and entitlements. Generate regular and ad-hoc reports to support analysis and compliance requirements.

6. HR Information Systems & Record Keeping: Maintain the HR database and personnel archives with a high level of confidentiality. Input and update employee data, monitor contract expiration dates, and ensure overall data integrity across all systems.

7. Documentation & General Support: Draft, review, and proofread a variety of HR correspondence and documents (e.g., attendance reports, memos). Perform any other duties as assigned by the Head of HR Unit or required by business needs.

Qualifications:

  • Education: University degree or above in HR, Business Administration, or other relevant subject. Specialized training in HR desirable. 
  • Experience: Minimum 4 years of relevant working experience in HR or Administration. Previous work experience in the UN/international organizations will be considered an advantage.

  • Language: Fluency in both oral and written communication in English and Chinese.
